This Privacy Policy explains how Indexite Corporation ("Indexite," "we," "us," or "our") collects, uses, discloses, and protects personal information through indexite.ca (the "Website") and when you contact us, book a call, or provide information in connection with potential or active client services.

We are accountable for personal information under our control and limit our collection, use, and disclosure to what is reasonably necessary for the purposes described below or otherwise permitted by law.

Information we collect

We may collect information you choose to provide, including your name, work email address, company, role, telephone number, booking details, messages, project or workflow information, and documents or data shared with us during a client engagement.

When you use the Website, we may also collect limited technical information such as your IP address, browser and device type, referring page, pages visited, date and time of access, interactions with our Website or advertisements, advertising or device identifiers, and website errors or performance data.

Please do not send sensitive personal information or confidential business information through a general email or booking form unless we have asked for it and provided an appropriate way to share it.

How we use information

We may use personal information to:

  • respond to inquiries, schedule calls, assess project fit, and prepare proposals;
  • deliver, manage, support, and improve our services and client relationships;
  • operate, secure, troubleshoot, and evaluate the performance of the Website;

  • meet legal, accounting, contractual, and security obligations.

We will not use personal information for a materially different purpose without consent or other lawful authority.

Website analytics and Indexite advertising

We use website analytics to understand how the Website is performing and to evaluate our own marketing. This may include measuring traffic volumes, popular pages, referring websites, interactions with our Website or advertisements, campaign performance, general device and browser categories, page-load performance, and errors. We use this information to maintain, secure, and improve the Website, understand which marketing efforts are effective, and inform our marketing strategy.

We may also use cookies, pixels, or similar technologies to measure our campaigns, create or select advertising audiences, and deliver or tailor advertisements for Indexite on this Website or other services. For example, these technologies may help us show an Indexite advertisement to someone who previously visited our Website or measure whether an Indexite advertisement led to a Website visit or inquiry.

These activities are for Indexite's own marketing and advertising purposes. They are separate from allowing a third party to use our information for its own marketing or to target advertisements for other advertisers, which we do not permit. Advertising and analytics providers may process limited information on our behalf to provide measurement, audience, and ad-delivery services to Indexite.

We do not use Client Data, confidential business information, or the contents of an inquiry to create advertising audiences or target advertisements. Where required, we will provide notice and obtain consent for non-essential analytics or advertising technologies. You can control cookies through your browser settings and use any privacy or advertising controls made available by the relevant provider, although disabling technologies may affect some Website features or our ability to measure advertising.

AI-assisted processing

This section applies to every use of AI-assisted systems by Indexite in connection with website submissions, business development, client discovery, service delivery, support, internal operations, and content preparation. "Client Data" means any data, files, records, prompts, or other information a client provides or makes available to Indexite.

We may use AI-assisted systems for tasks such as summarization, classification, analysis, drafting, workflow design and testing, automation, quality assurance, documentation, and administrative support. We minimize the information used, de-identify it where appropriate, limit access, and apply human review based on the nature and risk of the task.

No public models. AI-assisted processing under this policy does not use public or consumer model interfaces. Indexite uses only approved business, private, or enterprise environments configured for the applicable work.

No training on Client Data without express authorization. Indexite does not use, or permit a provider to use, Client Data to train, fine-tune, or improve any model unless the client expressly authorizes that use in a signed Master Services Agreement (MSA).

We do not use AI to make decisions that have a legal or similarly significant effect on an individual without an expressly agreed process, appropriate safeguards, and meaningful human oversight. If a client's MSA contains different or more specific privacy, security, or AI terms, the MSA governs that engagement.

When we disclose information

We may disclose information to service providers that support hosting, email, scheduling, analytics, security, professional services, or client delivery. We limit access to what is needed for the service and require appropriate confidentiality and security safeguards. We may also disclose information when required by law or when reasonably necessary to protect our rights, systems, clients, or the public.

Some providers may process information outside Canada, where it may be subject to the laws of the jurisdiction in which it is processed.

We do not sell or rent personal information or permit another organization to use it for its own marketing or to target advertisements for other advertisers. This does not prevent service providers from processing limited information on Indexite's behalf to measure, deliver, or tailor advertisements for Indexite as described above.

Retention and safeguards

We retain personal information only as long as reasonably necessary for the purposes described in this policy and to meet legal, contractual, accounting, or security obligations. When information is no longer required, we securely delete or de-identify it.

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No transmission or storage method is completely secure, but we work to prevent unauthorized access, use, alteration, loss, or disclosure.

Your choices and rights

You may ask to access or correct your personal information, withdraw consent where applicable, or raise a question or complaint about our privacy practices. We may need to verify your identity before responding. You may also use available cookie, browser, or advertising-platform controls to limit analytics or tailored advertising. These rights are subject to applicable law, and withdrawing consent may limit our ability to provide a service or measure our marketing.
